Sales Manager

POSITION TITLE: Sales Manager

REPORTS TO: Director of Sales/General Manager

POSITION OVERVIEW:

Reporting to the Director of Sales, the Sales Manager will be primarily responsible for the direct sales of guest room, meeting and conference business in the crew, corporate and group market segments for the Holiday Inn Express & Suites Kingston Central, Quality Inn & Conference Centre Kingston Central and Comfort Suites Kingston Central.

KEY AREAS OF RESPONSIBILITY:

  • Prospect for potential new business through direct telephone and email solicitations and market research, on a continual basis.

  • Maintain weekly quotas for telephone solicitations, outside sales calls and site inspections, as assigned by the DOS.

  • Establish and maintain a client filing and trace system, documenting all correspondence and meetings with clients.

  • Maintain effective and accurate communication between sales, catering and all necessary departments

  • Participate in weekly sales meetings, reporting in writing weekly sales activities to the DOS & planning future sales activities.

  • Conduct ongoing market research by compiling information from local directories, newspapers, trade journals & other publications.

  • Conduct ongoing competition analysis by surveying local hotel parking lots & lobby boards & by compiling & reporting findings.

  • Participate in out-of-town direct sales trips and tradeshows, as required.

  • Assist in the achievement of budgeted hotel revenues and individual sales targets.

  • Prepare and execute a sales strategy to increase business in your delegated market segments.

  • Negotiate appropriate guest room rates for volume bookers.

  • Prepare proposals, as required, for volume guest room, meeting or conference business & follow up all proposals in a timely fashion.

  • Prepare contracts for group bookings, ensuring that appropriate space is allocated and that clients are instructed on rooming lists, payment requirements and other terms and conditions.

  • Set-up group blocks and correspond with the front desk manager on a weekly basis to monitor.

  • Collect signed contracts and correspond with other departments to ensure the proper delivery of negotiated services.

  • Complete correct receipt of deposits and details for final payments are communicated correctly to clients and the hotel.

  • Ensure detailing of own events and as directed from the Director of Sales.

  • Setting up reservations for group room bookings in the Property Management System.

  • Promote Diamond Hotels at trade and consumer shows, as required.

  • Assist in the planning and execution of special promotional events.

  • Assist in the preparation and implementation of direct sales campaigns.

  • Participate in community special events on an on-going basis, maintaining the positive public image and top-of-mind awareness of the Holiday Inn Express & Suites Kingston Central, Quality Inn & Conference Centre Kingston Central and Comfort Suites Kingston Central.

  • Participate as an active member of a local committee, maintaining the positive public image and top-of-mind awareness of the Holiday Inn Express & Suites Kingston Central, Quality Inn & Conference Centre Kingston Central and Comfort Suites Kingston Central.

QUALIFICATIONS:

  • Completion of secondary school plus additional post-secondary courses in a related area or equivalent

  • Minimum 1 year outside sales experience or hotel front desk experience

  • Excellent computer skills with emphasis on Word, Outlook and Excel

  • Self-motivated, decisive, responsible and driven to achieve goals

  • Good problem-solving skills

  • Strong organization skills and able to work in a fast-paced environment with little supervision

  • Exceptional oral and written communication skills

  • Excellent customer service skills required

  • Must possess the ability to communicate effectively within a diverse team environment

  • Ability to work effectively and collaboratively in a multi-cultural environment with co-workers, managers, and guests

  • Some travel is required, so a driver’s license and vehicle access are necessary

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions

of the job. The noise level in the environment is moderate. Work is generally scheduled Monday through Friday.
